SWE EXECUTIVE COUNCIL INFORMATION

ALL APPLICATIONS ARE DUE SUNDAY MARCH 29, 2020

The SWE-SCV Nomination committee is currently looking for nominations for the FY20 Executive Council. All nominees must be a voting member of the Society in good standing, and a member of the Santa Clara Valley section. Candidates should be prepared to spend 2-3 hours a week on average supporting SWE-SCV Executive Council activities.

About SWE SCV

The Society of Women Engineers Santa Clara Valley section focuses on the missions and goals of SWE headquarters. Our local section aims to provide professional development, outreach, and a great membership experience for all our members and beyond. We are a large section of members and have an equally challenging agenda of items each year.

The Commitment

Our board members dedicate their time and talent to bring the best to this organization and local community. Running for a position on this board is a commitment. To help nominees understand the commitment and responsibility, we have put together a description of each position and overview of what board members do on the board. Please note that recommended years of service helps nominees be successful in their role but is not a requirement.  Board Members can rely on the support of other board members and committee volunteers to help fulfill their individual responsibilities.

Expectations of all EC Board Members

  • One Day Leadership Transition Training

  • Average 2-3 hours per week towards business related items for SWE

  • Monthly EC meetings which occur after work hours

  • Attending Professional and Social Events

  • Promoting SWE, organizing business-related items, and networking

  • Other duties as described by position roles

POSITION ROLES

PRESIDENT

  • Recommend three years with a suggested two years of service in one or more of the VP roles

  • Role

    • Represent the section before the public and preside at meetings of the section and its executive council

    • Appoint the chairs of all committees, with the approval of the executive council, except the chair of the nominating committee

    • Approve the appointment of all committee members, except the members of the nominating committee

    • Authorize the disbursement of section funds within the budget approved by the executive council

    • Be an authorized signatory on all section accounts

    • Coordinate activities and execute the business and policies of the between meetings

    • Review and approve the year-end section financial report

    • Provide oversight and guidance to the committee chairs as assigned, and

    • Perform other duties normally associated with the office of president or as may be assigned by the executive council or the governance documents.

  • Current Duties

    • Provides training and oversight of organization to SWE EC Board Members

    • Organizes and Oversees all monthly EC board meetings

    • Provides support, guidance, one-on-one for all EC board members

    • Represents organization at professional and social events involving SWE

    • Oversees board member email accounts

    • Oversees/monitors communication between SWE and outside interests

    • Reviews all funding related matters with treasurer and SWE National

    • Oversees SWE website, FB account, LinkedIn Account, and other social media accounts

    • Tracks progress and needs of organization

    • Creates and identifies marketing material to promote SWE

    • Outreaches and educates on the Mission and Purpose of SWE

VICE PRESIDENT OF MEMBER SERVICES

  • Recommend two years of service on EC board or two years as committee volunteer

  • Role

    • Assume the duties of the president if the president is temporarily unable to serve

    • Provide oversight and guidance to the committee chairs as assigned; and

    • Perform such other duties as may be assigned by the president, the executive council, or the governance documents.

  • Current Duties

    • Organizes Company Events and Social Events for members

    • Educates prospective members on the value of joining SWE and provides information on steps to joining SWE

    • Organizes Career Development Events with VP of Career Guidance

    • Interfaces with Section SWE members and educates them on events and opportunities

    • Provides email and correspondence to member questions, event requests, and career development requests.

    • Advertises and informs members about events on FB, LinkedIn, and other channels

    • Works with President and EC as ambassador to SWE, its mission, and causes.

VICE PRESIDENT OF CAREER GUIDANCE

  • Recommend two years of service on EC board or two years as committee volunteer

  • Role

    • Assume the duties of the president if the president and vice president-member services are temporarily unable to serve

    • Provide oversight and guidance to the committee chairs as assigned

    • Perform such other duties as may be assigned by the president, the executive council, or the governance documents.

 

  • Current Duties

    • Organizes Career Development Events with VP of Member Services

    • Oversees/organizes scholarship program

    • Provides information on Leadership Coaching Committee

    • Advertises and informs members about mentoring, scholarships, and career events on FB, LinkedIn, and other channels

    • Works with President and EC as ambassador to SWE, its mission, and causes.

VICE PRESIDENT OF OUTREACH

  • Recommend two years of service on EC board or 2 years as committee volunteer

  • Role

    • Assume the duties of the president if the president, vice president-member services and the vice president-career guidance are temporarily unable to serve

    • Provide oversight and guidance to the committee chairs as assigned; and

    • Perform such other duties as may be assigned by the president, the executive council, or the governance documents.

  • Current Duties

    • Works with outreach chairs/volunteers/companies to organize outreach events for K-12 girls

    • Oversees/organizes volunteer registration and channeling of outreach opportunities

    • Works with fundraising chair to provide statistics and information for grants/funding

    • Advertises and informs members about outreach volunteer opportunities and SWE SCV outreach programs on FB, LinkedIn, and other channels.

    • Works with President and EC as ambassador to SWE, its mission, and causes.

TREASURER

  • Recommend two years of service on EC board or 2 years as committee volunteer

  • Recommend accounting knowledge and experience, in particular for not-for-profit groups

  • Role

    • Be responsible for the collection, distribution, and safekeeping of section funds

    • Prepare, maintain, and report as directed on the financial position of the section in relation to the approved budget

    • Submit a financial report to the Society in accordance with established 134 procedures;

    • Provide oversight and guidance to the committee chairs as assigned; and  

    • Perform other duties normally associated with the office of treasurer or as may be assigned by the president, the executive council, or the governance documents.

  • Current Duties

    • Works with board to determine budgetary needs and manages contracts with organization

    • Helps Programming Development Group for fundraising needs

    • Presents current state of budget at each EC meeting

    • Maintains financial accounting of section books in Quicken application.

    • Sends donation receipt letters to all donors

    • Files not-for-profit taxes using online tax application

    • Works with President and EC as ambassador to SWE, its mission, and causes.

SECRETARY

  • Recommend one year of service on EC Board or SWE Committee

  • Role

    • Maintain the records of the section

    • Provide oversight and guidance to the committee chairs as assigned; and

    • Perform other duties normally associated with the office of secretary or as may  be assigned by the president, the executive council, or the governance 127 documents.

  • Current Duties

    • Records minutes during monthly EC meetings

    • Drafts and releases monthly newsletters to SWE membership and subscribers

    • Advertises and informs members about organization information FB, LinkedIn, and other channels

    • Works with President and EC as ambassador to SWE, its mission, and causes.

    • Vice President of Member Services

    • Recommend two years of service on EC board or two years as committee volunteer

    • Role

    • Assume the duties of the president if the president is temporarily unable to serve

    • Provide oversight and guidance to the committee chairs as assigned; and

    • Perform such other duties as may be assigned by the president, the executive council, or the governance documents.
